Generative AI policies for the Galen Medical journal

Galen Medical Journal acknowledges the potential of generative AI and AI-assisted technologies, including AI agents and advanced research tools, to aid researchers in synthesizing literature, generating ideas, and enhancing the language and readability of their work. To maintain transparency and trust, we have established the following policies for authors, reviewers, and editors.

Guidelines for Authors

Responsibility and Accountability

Authors may use AI tools to support manuscript preparation, but these tools must never be used as a substitute for human critical thinking, expertise, and evaluation. AI should always be applied with human oversight, and authors remain fully responsible and accountable for the accuracy, integrity, and originality of their work. This includes verifying all AI-generated output, as these tools can fabricate references or produce biased content.

Authorship and Integrity

  • No AI Authorship: AI tools do not qualify for authorship and must not be listed or cited as an author or co-author. Authorship implies responsibilities and tasks that only humans can perform, such as approving the final version and ensuring the work does not infringe on third-party rights.
  • Data Privacy: Authors must check the terms of any AI tool used to ensure the privacy and confidentiality of their unpublished manuscripts, and that data is maintained.

Mandatory Disclosure

Authors must disclose the use of AI tools upon submission. A "Declaration of Generative AI and AI-assisted technologies in the writing process" should be placed at the end of the manuscript, immediately above the references. Disclosure is not required for basic tools used for checking grammar, spelling, and punctuation.

Required Statement Format:

"During the preparation of this work, the author(s) used [NAME TOOL / SERVICE] to [REASON]. After using this tool/service, the author(s) reviewed and edited the content as needed and take(s) full responsibility for the content of the publication."

Figures, Images, and Artwork

The use of generative AI to create or alter images (such as enhancing, moving, or introducing features) is not permitted. Standard adjustments to brightness, contrast, or color balance are acceptable if they do not obscure original information.

  • Methodological Exceptions: AI may be used if it is part of the formal research design or methodology (e.g., in biomedical imaging). In such cases, authors must describe the tool, model, and manufacturer in detail within the Methods section.
  • Artwork: AI-generated graphical abstracts are prohibited. Cover art may be considered only with prior permission from the journal editor and SalviaPub.

Guidelines for Reviewers and Editors

Confidentiality and Data Privacy

Manuscripts are confidential documents. Reviewers and editors must not upload submitted manuscripts or any part of them into generative AI tools, as this violates author confidentiality and proprietary rights. This restriction also applies to peer review reports and decision letters.

Human-Centric Evaluation

Generative AI should not be used to assist in the scientific review or evaluation process. The critical thinking and original assessment required for peer review are outside the scope of current AI technology, which carries risks of incorrect or biased conclusions. Human oversight remains at the core of all editorial decisions.

As a publisher, SalviaPub may utilize identity-protected, in-house AI technologies to assist with administrative tasks, such as:

  • Identifying relevant reviewers and matching the scope of submissions.
  • Detecting plagiarism and duplicate submissions.
  • Performing technical adherence checks and supporting post-acceptance copy editing.

These tools are subject to rigorous evaluation for bias and are compliant with data security requirements. We will continue to monitor the evolution of AI to adjust these policies as necessary to uphold the highest standards of scientific publishing.
